Important Service Desk Update: The Service Desk is preparing for reimplementation. If you have an open ticket, please respond before May 17 – open tickets will not be transferred. On May 18 & 19, no tickets may be submitted by self-service, nor will the Service Desk create a ticket by phone or chat. The Service Desk will be available by phone at 877-243-5753 for support. The new platform will be fully available on May 20.

Okta at ACS

Okta is an identity and access management solution that lets you sign in once and access applications from a single dashboard.

ACS is implementing Okta and transitioning away from PingID. Enrollment has started at ACS and continues through May 31. Scroll for all the resources you need!

Setting up the security method to confirm your identity will be similar to our current use of PingID. Yet, using adaptive authentication, Okta offers greater flexibility and a frictionless experience with less prompting.  Based on your location, device, and behavior, you will only be prompted for MFA when necessary. For example, if you log in from a trusted network or device, you may not need to enter a code or use a factor. Authentication with Okta includes these methods:

  • Push notification sent to your device > click on notification > Yes, it’s me!
  • Temporary six-digit code
  • Okta FastPass (scroll to see set-up instructions and a definition)

The only thing you need to do today is enroll

Follow the first-time login step-by-step instructions. Choose your media: PDF document, interactive version, or video.

Do not remove Ping ID from any device or workstation. We will use both Ping ID and Okta simultaneously for a limited time while ACS application implementation takes place.

ACS applications (Salesforce, Workday, etc) will be integrated with Okta in a phased rollout starting in June. A schedule of this rollout and when to look for your Okta-connected apps is coming soon.

DEFINITIONS
Enroll or register–in this context means to create an Okta account.

Authenticate–Verify your identity.

Okta Verify–The Okta app to download and use on your desktop and mobile device.

OTP (One-time password)–Use the Okta Verify app to generate a unique code for each login attempt. Enter the code on the login screen to gain access.

Push Notification–You will receive a notification on your registered devices (phone, tablet, laptop) prompting you to approve or deny access. A quick tap grants you access.

FastPass–Device-specific configuration for Okta Verify enabling a passwordless login experience, avoiding extra prompts.

Security Methods–Passwords, notifications, and biometrics used to gain access to data.

Biometrics–Verify identity using physical characteristics such as facial recognition (Face ID) and fingerprints (Touch ID).

Single Sign-on (SSO)–Allows a user to log in once and access multiple connected software systems without re-entering authentication methods.
 
Multifactor authentication (MFA)–Multifactor authentication is a layered approach to securing data and applications where a system requires a user to present a combination of two or more credentials to verify a user’s identity for login. (Cybersecurity & Infrastructure Security Agency, CISA)

ACS Okta Dashboard–A platform to access ACS applications securely. From the dashboard, you can manage your Okta account, read notifications, organize, or request apps.

Adaptive authentication— Works by creating a profile for each user based on factors such as geolocation, device, risk, and behavior. Once your identity is confirmed you will only be prompted for MFA when necessary.
