Volunteer Access to ACS Systems

Requesting New Volunteer Access to ACS Systems

To obtain an ACS computer, email, and/or network access for a new volunteer, please follow these steps:

  1. Create a new Volunteer Shift in Salesforce. Follow the steps outlined in this quick reference guide. Please contact the Volunteer Engagement team at [email protected] if you do not have an existing volunteer campaign in Salesforce or need additional support on this step.

Once a volunteer signs up for the shift, they will automatically be assigned their required training courses listed below.

  • Welcome to the American Cancer Society
  • Multifactor Authentication Training
  • Privacy Training and Acknowledgement (annual)*
  • Digital Solutions Security Awareness
  • Digital Solutions Security and Acceptable Use Policy (annual)*

If your volunteer is experiencing any issues with the Volunteer Community or their training courses, they can connect directly with our support at 800-227-2345 option 4 or via live chat on cancer.org.

2. Team members will receive a Salesforce task when their volunteer has completed all their required training courses. Please be sure to mark this task as Completed.

3. Complete a new Service Desk New User request for the Digital Solutions team. This request is used to obtain computer, email, and network access for volunteer users.

  • Include the volunteer’s personal email in the Preferred Name field of the ticket.
  • Please include a screenshot of the training completion from the Training tab in an individual’s Salesforce contact as an attachment to your request.
  • Team members will be required to enter a “Start Date” for their volunteer on the Service Desk request. Please make note of the date you enter, as your volunteer will be required to enter this date when they initially log in with their new ACS access. Tip: Make it date you submit the request.

4. Team members will receive an email from the Digital Solutions team when their volunteer has been granted access. The volunteer will also receive an email with their next steps to login.

  • Please allow 10 business days for the approval and provisioning process.
  • Volunteers will have 30 days to login for the first time before being locked out. After initial login, volunteers will be locked out of ACS systems if they do not login for 60 days.

Important Notes

  • Access is granted based on volunteer roles, responsibilities, and needs.
  • Volunteers will receive a notice when their access is coming up on the one-year mark with instructions for completing the annual training courses. Team members will need to submit a new Service Desk ticket per the renewal process. Tip: Add a calendar reminder in advance.
  • Volunteers who need access to Microsoft Office tools can access them on the Office 365 Web Portal.
  • If additional functions are needed, a business case and budget code must accompany the request. The Office 365 E5 license cost is $120. Other applications and software vary in cost.
  • All files should be stored on OneDrive for Business. 

Renewing Existing Volunteer Access to ACS Systems

Please note this process requires annual submission. Volunteers must retake Privacy Training and Acknowledgement and Digital Security and Acceptable Use Policy trainings each year and team members must complete a new Service Desk ticket once the volunteer has completed their training course.

Volunteer access will be disabled if annual training is not completed and/or a new Volunteer Onboarding Request has not been submitted by the staff partner in advance of their expiration date.

Follow the steps outlined in this quick reference guide to add the appropriate job and shift to your campaign and share the new sign-up link with your volunteer so they can complete their required training courses. Please contact the Volunteer Engagement team at [email protected] if you do not have an existing volunteer campaign in Salesforce or need additional support on this step.

Once a volunteer signs up for the shift, they will automatically be assigned their required training courses listed below.

  • Privacy Training and Acknowledgement (annual)*
  • Digital Solutions Security and Acceptable Use Policy (annual)*

2. Team members will receive a Salesforce task when their volunteer has completed all their required training courses. Please be sure to mark this task as Completed.

3. Complete a new Service Desk ticket for the Digital Solutions team.

  • Be sure to include a screenshot showing the volunteer’s completed trainings. Training completion can be found on the Training tab in an individual’s Salesforce contact record.
  • Team members will be required to enter a “Start Date” for their volunteer on the Service Desk request. Please make note so the date you enter, as your volunteer will be required to enter this date when they initially login with their new ACS access.
  • Be sure the “Completed On” date has been updated for the “Privacy Training and Acknowledgement” and “Digital Solutions Security and Acceptable Use Policy” courses.  

4. Team members will receive an email from the Digital Solutions team when their volunteer has been granted access. The volunteer will also receive an email with their next steps to login.
