Requesting New Volunteer Access to ACS Systems
To obtain an ACS computer, email, and/or network access for a volunteer, please follow these
steps:
- Team members must first create a new Volunteer Shift in Salesforce to add the
INTERNAL USE ONLY: IT Access volunteer role to your volunteer campaign. This will
allow your volunteer to sign up for this shift on the Volunteer Community and
automatically enroll in and complete their required training courses.
- Follow the steps outlined in this quick reference guide to add the appropriate job and shift to your campaign and share the new sign-up link with your volunteer so they can complete their required training courses. Please contact the Volunteer Engagement team if you do not have an existing volunteer campaign in Salesforce or need additional support on this step.
- NOTE: Once a volunteer signs up for the shift, they will automatically be assigned their required training courses: Welcome to the American Cancer Society, Multifactor Authentication Training, Privacy Training and Acknowledgement (annual)*, IT Security Awareness, IT Security and Acceptable Use Policy (annual)*

2. Team members will receive a Salesforce task when their volunteer has completed all their required training courses. Please be sure to mark this task as Completed.
3. Complete a New User Request form via the Service Desk/Service Now. Be sure to
select Volunteer under “User Type.” This request is used to obtain computer, email,
and network access for volunteer users. Please have the volunteer’s information
listed below before submitting a request.
- First and Last Name
- Manager of the new user (volunteer’s staff partner)
- Personal email
- Personal Phone
- Birth Month and Day
- Training completion status

can be found on the Volunteer & Event Summary tab in an individual’s
Salesforce contact record, then scroll down to the Volunteer Training Courses
section.
4. Team members will receive an email from the IT team when their volunteer has been granted access. The volunteer will also receive an email with their next steps to login.
- Please allow 10 business days for the approval and provisioning process.
- Volunteers will have nine (9) days to login for the first time before being locked out. After initial login, volunteers will be locked out of ACS systems if they do not login for 45 days.
Important Notes
- Access is granted based on volunteer roles, responsibilities, and needs.
- Volunteers will receive a notice when their access is coming up on the one-year mark with instructions for completing the annual training courses. Team members will need to submit a new Service Desk ticket per the renewal process. Tip: Add a calendar reminder in advance.
- Volunteers who need access to Microsoft Office tools can access them on the Office 365 Web Portal.
- If additional functions are needed, a business case and budget code must accompany the request. The Office 365 E5 license cost is $120. Other applications and software vary in cost.
- All files should be stored on OneDrive for Business.
Renewing Existing Volunteer Access to ACS Systems
Systems access for all volunteers will expire on March 31 of the following year. Volunteers and
their ACS team member will receive an email notification prior to the expiration date with
instructions on how to renew their access if needed.
